The Position:

An Assistant Property Manager is an integral component of our in-house Property Management team, collaborating with the Service Charge accounts team and the larger Property Management team. This permanent position requires five days per week of attendance at our London office in Canary Wharf. The operational schedule is as follows: Monday through Thursday, 09:00 am to 05:30 pm; Friday observes a reduced schedule from 09:00 am to 05:00 pm.

Duties include:

As directed by the Senior Property Manager, Senior Property Manager, and Head of Department, execute a variety of property management responsibilities.

  • Provide project management support for significant internal and external undertakings, including Section 20 consultations, in conjunction with pertinent surveyors or professional consultants.
  • Manage emails and electronic data, and ensure that all records are current.
  • Attending to inquiries via email and phone from contractors, lessees, subtenants, and other stakeholders, in addition to coordinating the dissemination of information to residents.
  • Assist in conducting site visits to validate the structural integrity of the buildings.
  • Ensure the prompt and accurate processing of insurance claims (in conjunction with the property management personnel).
  • Ensuring consistent and precise communication requires review and approval of all customer correspondence and circulars, including newsletters.
  • Coordinate cleaning, repairs, and other responsibilities (including emergency repairs) with contractors, and attend scheduled appointments.
  • Maintain and update the list of authorized contractors.
  • It is imperative to uphold and refine the purchase order system to guarantee that every expenditure is accompanied by a work order.
  • Oversee the process of uploading compliance documents to Quooda.
  • Perform routine site inspections (in adherence to safety protocols) and generate comprehensive site visit reports.
  • Serve as staff and residents’ primary or secondary point of contact when they have inquiries regarding the numerous sites in the portfolio.

The person:

Prior experience working on either the client or agent side of block property management will be a prerequisite for the position of assistant property manager. They will also satisfy the requirements listed below:
